Marketing & Tourism Coordinator
The Greater Miami Convention & Visitors Bureau is seeking a full-time seasoned Marketing & Tourism Coordinator to work onsite.
Accountability:
This position reports to Sr. VP, Marketing & Tourism.
Job Summary:
This full-time onsite position primarily exists to provide comprehensive support to the Arts/Culture and LGBTQ Directors and provides support to Travel Industry Sales Directors for tradeshow coordination and social media support including the GMCVB’s global network of offices. This individual will contribute to existing marketing programs, while assisting with the development of new initiatives aligned with the marketing program.
Basic Responsibilities:
- Provides comprehensive support to Arts/Culture and LGBTQ Directors & the GMCVB’s representation network.
- Responds to inquiries, calls, emails, data entry in GMCVB’s CRM (Simpleview), coordinate and set-up meetings.
- Uses initiative to resolve customer challenges.
- Tracks progress of projects and provides customer service.
- Processes division’s invoices, prepares check requests as needed by Directors and VP.
- Coordinates, manages, and accurately maintains information through the development, compilation, and maintenance of data base files.
- Creates and updates status reports and performs moderately complex calculations.
- Provides comprehensive administrative support.
- Coordinates stakeholder, committee, task force meetings including meeting invites, attendance tracking, room scheduling, catering, material preparations.
- Assists with updating Powerpoint slides or reports for GMCVB stakeholder meetings (internal and external).
- Support LGBTQ social media campaign activities including calendar scheduling through Sprout Social, GMCVB’s social media management tool.
- Responds to inquiries and requests in a timely manner.
- Offers suggestions and assistance as it relates to destination information.
- Assists with coordination and making travel arrangements for Directors, including preparing expenses reports.
- Researches and provides referrals of GMCVB member partners.
- Maintains stock items of collateral material for department and GMCVB Rep Offices.
- Tracks global tradeshows & events for division.
- Disseminates leads to GMCVB partners and documents updates in Simpleview.
Additional Duties:
- Assist when needed on special projects.
- Supports Reception Desk personnel regarding walk-in visitors, consumer phone calls and email inquiries.
- Supports Project Manager (as needed).
- Assist Marketing & Tourism Department in response to high-priority meetings and coordination of catering services for in-house or outside meetings, including set-up and breakdown of venues (as needed).
- Attends GMCVB industry related functions as needed.
- Secure program participants for campaigns as needed. This includes e-mail/phone follow-up with GMCVB partners and stakeholders.
Nature of Work:
Work is performed under pressure in a fast-paced environment. Work is monitored periodically by the supervisor. Work is primarily performed indoors in a teamwork-oriented environment. Mistakes and missed deadlines may result in monetary loss and/or damage to the department’s reputation. Although work is performed under established rules, has input in the establishment of policies and rules affecting the job.
Travel:
Occasional Travel as a back-up to Director.

Interact with GMCVB members & its network of offices, industry partners, fulfillment houses, vendors.
Internal
Confers with peers and staff up to board member level.
Supervision Received:
Work is performed independently, conferring with supervisor. Initiative is required to resolve problems.
Supervision Given:
Exempt Staff positions: None.
Non-Exempt Staff positions: None.
Will work with interns on occasion.
Knowledge Skills & Abilities:
- Associates degree in a related field or two years college coursework.
- Three years related experience or an equivalent combination of education and experience.
- Success in this position requires interpersonal skills for frequent interaction with external customers, peers, and stakeholders.
- Develops strong knowledge of GMCVB partner products and services on an ongoing basis.
- Demonstrated solid proficiency in Microsoft Office Suite 365 with emphasis on PowerPoint.
- Type 50 correct words per minute.
- Professional demeanor, and the ability to work cooperatively and communicate effectively written and verbal.
- Punctuality and consistent attendance.
- Prior experience with a wide range of marketing functions, including communications, advertising, branding, digital marketing, and social media.
- Must be organized and able to multitask several diverse projects and meet tight deadlines.
Essential Physical Requirements:
Sitting at a computer for long periods of time. Standing and walking for considerable periods of time for the purpose of conducting site inspections (if needed) and familiarization tours, etc. Carrying and setting up equipment and displays.
